Job Description:

The Learning Community, a vibrant public charter school, seeks to hire an Administrative Assistant. The Administrative Assistant will split their time supporting the AmeriCorps Program Director and the Administrative Manager. This person will provide key leadership to a myriad of tasks and projects essential to the team’s administration and management of The Learning Community’s expanded AmeriCorps cohort, as well as support the school’s Administrative Manager. This AmeriCorps cohort is made up of 20 full-time AmeriCorps state members (Education Fellows) and 5 full-time AmeriCorps*VISTA members. The AmeriCorps program spans 6 host sites (all located in urban public schools across Woonsocket, Central Falls and Providence). While supporting the AmeriCorps Program Director, duties will include assisting in the coordination of pre-service trainings, retreat days; overseeing quarterly program data management and report creation; and managing and providing administrative support to the larger AmeriCorps team. While supporting the Administrative Manager, duties will include back up support to Co-Directors and support with tasks such as recruitment, meeting organization and various other administrative tasks.

Duties and Responsibilities:
• Support the Program Director in administrative duties for The Learning Community’s 25 AmeriCorps members. This includes compiling member evaluations, member profiles, timesheets, member calendars and coverage and overseeing logistics for member trainings.
• Assist in the renewal application for both AmeriCorps State and AmeriCorps*VISTA grants. Help create timeline for application process and material due dates.
• Assist the Program Director in scheduling regular site visits to partner sites.
• Attend state wide grantee meetings with Program Director two a month (both VISTA and State grants).
• Collect and compile host site student data and for Performance Measures and reporting. This includes creating AmeriCorps specific spreadsheets for student assessment data and compiling reports for each host site after assessment windows.
• Ensure all 25 member files are in compliance with AmeriCorps guidelines, ensuring all files are updated with guidelines change. Maintain an up-to-date comprehensive filing system and organize processes and systems for maximum efficiency. Provide relevant information to LC finance office.
• Monitor and approve VISTA time keeping and data reporting for Performance Measures
• Monitor, collect, and approve AmeriCorps state time sheets.
• Coordinate space and other logistics for weekly AmeriCorps cohort meetings.
• Recruitment: Update all onboarding forms for The Learning Community and Serve Rhode Island and maintain training binders; maintain job fair calendar and employer accounts with local universities, attend job fairs and arranged campus visits.
• Assist in the coordination and management of statewide AmeriCorps events, including but not limited to: Opening Day, MLK Day of Service, Justice Talks, National AmeriCorps Week, Earth Day Roger Williams Park Cleanup, and other community events.
• Assist in the screening, interviewing and placement of 25 members. This includes maintenance of position postings, attending career fairs on rotation with Program Director, organizing space and supervisors to attend interviews, and follow up with prospective members.
• Support and take on projects as assigned by the Co-Directors
• Set up and organization of meetings and team events (including weekly team meetings and team PD days)
• Scheduling meetings on Outlook and maintaining conference room calendars

Skills, Knowledge, & Abilities:
• Experience in meeting planning and facilitation
• Excellent oral and written communications skills
• Proficiency using Microsoft Office software (MS Word, MS Outlook, Excel, Access, PowerPoint, Publisher, etc.)
• Preferred skills include knowledge of AmeriCorps responsibilities and regulations
• Strong organizational and interpersonal skills and enjoy working collaboratively
• The position requires in-state travel to meetings and events and some weekend or evening events
• Bilingual in Spanish a plus

Training and Experience:
• Bachelor’s of Arts/Science Degree preferred
• 1-3 years of experience in project management and support
• AmeriCorps service experience preferred
• Experience in administrative settings/roles required
